Deleting your data

You can have the data Kai Dojo holds about you deleted. This page says who to ask, what goes, how long it takes, and the one record we keep on purpose and why. Nothing here needs a form, an account, or a phone call.

Effective 12 September 2026.

1. Which request is yours

Kai Dojo is sold to businesses, and those businesses use it to answer members of the public. So the answer to "who deletes my data" depends on which of those you are. The Privacy Policy sets this out in full; the short version is the table below.

If you areAskBecause
A member of the public who messaged a gym's WhatsApp number That gym, then us The gym is the organisation responsible for your data. We hold it on their instructions
The owner of a business that uses Kai Dojo Us Your account and everything under it is ours to delete
A coach or staff member with a Kai Dojo sign-in Your business, or us Your account exists because your business asked for it

2. If you messaged a gym's WhatsApp number

Ask the gym. They can act immediately, where we have to verify the request with them before touching their records. If you would rather come to us, or the gym does not respond, email contact@cortexlab-ai.tech and tell us:

We need both: the number is how your data is stored, and the business is whose instructions we act on. We delete your phone number, every message in the conversation, and anything the assistant recorded about you while answering.

If all you want is for the assistant to stop replying, you do not need to delete anything. Send STOP to the same number. The automation stops and a person can still answer you.

3. If you run a business that uses Kai Dojo

Email contact@cortexlab-ai.tech from the address on your account and say you want your account deleted. We delete:

Your WhatsApp number, your WhatsApp Business Account and the chats on your own phone belong to you and are untouched. Disconnecting Kai Dojo does not affect any of them, and it does not delete anything Meta holds.

4. If you are a coach with an account

Ask the owner of your business to remove your access. They can do it themselves, and it takes effect on your next action. If you would rather ask us, email contact@cortexlab-ai.tech from the address you sign in with.

Removing your access deletes your sign-in and your name. Replies you sent to contacts stay in your business's conversation history, because they are that business's record of what a member of the public was told, not a record about you.

5. Disconnecting WhatsApp

If you connected a number to Kai Dojo through Facebook, you can sever that connection from Meta's side at any moment, without asking us:

That stops us receiving anything further. It does not by itself delete what we already hold, so email us as well if that is what you want. Section 3 is the whole of it.

6. What is kept, and why

Records that somebody asked not to be messaged. If we deleted these, a person who had opted out could be messaged again the next time their number appeared. We keep the number and the date it happened, and nothing else about them. This is the one exception we will not make, because making it would harm the person asking.

Records relating to a paid engagement are kept for five years after it ends, to meet accounting and limitation-period requirements. That means invoices and the fact of the contract, not conversations.

We may also retain data where the law requires it, or where it is necessary to establish or defend a legal claim. Where that applies we keep the minimum for the required period and delete the rest. Section 7 of the Privacy Policy lists what is kept and for how long.

7. How to reach us

Our Data Protection Officer handles every request on this page.

We acknowledge a request within five working days and complete it within 30 days, as the Personal Data Protection Act requires. If it will take longer we tell you when to expect it rather than leaving you waiting. We may need to verify your identity first, and we will ask for no more than it takes to do that.

If you are unsatisfied with how we handled your request, you may refer the matter to the Personal Data Protection Commission at pdpc.gov.sg.
