Your gym's after-hours customer service.

Kai answers WhatsApp enquiries in seconds, around the clock, in your own words — and hands the conversation to a coach the moment one is needed.

Northside Gym online

Hi, can I find out more about your gym?

Hi! We're Northside Gym — thanks for reaching out. We run Muay Thai, BJJ and strength & conditioning classes. Is there one in particular you're looking at?

I'm interested in the BJJ classes. Is it suitable for beginners?

Our BJJ classes are beginner-friendly. Our coaches take you through the basics and keep the training environment safe.

Great, is there a trial class?

Yes we do. You can sign up at this link here: northsidegym.sg/free-trial

Answer within the hour and you are more likely to qualify the lead than a business that waits one hour longer.

Kai handles your after-hours customer service.

Wake up to booked trials instead of unanswered questions. People shop for a gym after work, on the sofa, late — and whoever replies first usually gets them.

A 24-hour strip. The hours from 8am to 9pm are marked as covered by the gym's own front desk; the remaining ten hours of every day are marked as covered by Kai.

Your front desk, 8am–9pm The other ten hours, answered by Kai

Three things, then it's answering.

Our team guides you through all of it.

  1. Step 1

    Kai reads your website

It pulls out the things people actually ask for — opening times, class schedule, prices and your existing FAQs — and answers from those rather than from anything it invented.

  2. Step 2

We configure the tone to your voice

Our team sets how your gym sounds and checks the replies read the way you would write them, before a single one goes out.

  3. Step 3

We refine it with you, weekly

Every week we go through what came in, together, so Kai handles a wider range of questions and gets better at moving an enquiry towards a booked trial.

The questions you answer forty times a week.

Nearly every first message to a gym is one of a handful of questions. Kai handles those, so your coaches get the conversations that need a coach.

“Is it suitable for beginners?”

Which classes suit someone starting out, what happens in a first session, and what to bring.

“How much is it?”

Your memberships, drop-in rates and packages — exactly as you priced them, never a figure Kai invented.

Getting there

Where you are, parking, which entrance.

And it remembers what someone already told it

Who the enquiry is for, what they're after, where they're starting from and when they could come — captured from what the person actually wrote, and never asked twice.

Kai knows what it doesn't know.

The reason most gym owners won't put an assistant on their number is the fear it will say something stupid at 2am with their name on it. So Kai is built to stop rather than guess.

  • Anything about an injury, or whether training is safe for someone
  • Any medical question, however casually it is asked
  • Any price or promise you have not given it
  • Anything about another member

When it stops, it says so, tells the person when someone will follow up, and flags the question for you to answer.

An illustration: someone asks whether training is safe with a back injury, and Kai declines and passes the question to the gym's coaches.
Jamie Lee Flagged for coaches

I have a back injury. Is it safe for me to join a Muay Thai class?00:52

Unfortunately, I can't advise on injuries. However, I'll hand this question over to our coaches, who will follow up with you first thing in the morning tomorrow during opening hours from 8 am to 9 pm.00:52 ✓✓

Decide when Kai answers, and when a person does.

Hand a conversation to a coach whenever you want a person on it, and take it back when you don't. On one thread or on all of them, at 2am or at two in the afternoon — the switch is yours either way.

Assistant
Assistant Kai Your team

You decide who replies.

What gym owners ask us first.

What makes you different from the other chatbot people?

Most of them tune your bot once a month. By then it has been answering wrongly for four weeks, and you have lost the customers it answered wrongly to — usually without ever finding out.

We tune weekly, against what actually came in that week, and you can reach us directly to change something rather than filing a ticket and waiting for the next cycle.

What happens when it gets something wrong?

We put guardrails around what Kai is allowed to answer in the first place. When a question falls outside them it does not guess — it says it will check, and flags the question for you to answer. The worst case is someone waiting until the morning, not a wrong answer sent in your name.

Do I lose control of my WhatsApp number?

No. It stays your number, on your account. Your coaches reply from the same conversations they always did, Kai steps back the instant one of them takes over, and one switch turns it off everywhere.

Is this replacing my front desk?

Kai was built to automate after-hours sales, not to replace your salesperson. It covers the ten hours a day nobody is on the desk, and you can switch it on and off whenever you like — including during the day, if you would rather your team took everything.

Where does my data go? Will it train someone else's AI?

Conversations are stored in Singapore. Replies are generated by Anthropic's Claude models, and where a different model is configured for a client it is reached through OpenRouter — Google's Gemini, for example. Search across your own knowledge runs on Google Cloud Vertex AI in the Singapore region.

All of it runs on business tiers configured so your conversations are not used to train anybody's model, and every gym is isolated from every other one. We are based here and work to the same PDPA obligations you do. The Privacy Policy names each provider and what it sees.

How long does setup take?

One 30-minute onboarding call. We use it to find out everything about your business, and to set up and connect your WhatsApp to our system. After that the work is ours rather than yours.

What does maintenance involve?

Weekly tuning of the assistant, plus complimentary calls whenever you need one. If something needs changing you tell us, and we change it.

What does it cost?

Kai Dojo is in founding beta with a small number of Singapore gyms, and beta terms are agreed in writing with each one. Ask us and you will get a straight number, not a quote process.

Stop losing people to whoever answered first.

See what Kai does with a question about your own gym. If it isn't good enough, you will know within about two minutes.
